This policy explains what personal information My-chat-bot collects when you use the platform at my-chat-bot.com to build AI chatbots, train them on your data, deploy them across channels, or contact our team. It also covers how we handle the dialogue data your bots process. We aim for plain language — if anything below is unclear, ask us at info@my-chat-bot.com.
1. Who we are
My-chat-bot is a software-as-a-service product operated from 1100 Congress Ave, Suite 740, Austin, TX 78701, USA. For account and marketing data we act as the data controller. For the conversation data your chatbots process on behalf of your own customers, you are the controller and we act as your processor. 2. What we collect
Information you provide directly
- Account details such as your name, work email and company when you sign up or contact us.
- The content you upload to train a bot — documents, URLs, help articles and knowledge bases.
- Billing details, handled through our payment processor, if you upgrade to a paid plan.
Information collected automatically
- Standard server logs (IP address, browser user-agent, request times) kept for security and abuse prevention.

Conversation data
When your chatbot talks to your end-users, the messages exchanged are stored so you can review transcripts and analytics. This dialogue data may include whatever your customers choose to type. We process it only to deliver the service to you and never use it to train shared or third-party models.
3. How we use the data
We use the information above to:
- Build, train and run the AI chatbots you create.
- Generate the conversation analytics and transcripts in your dashboard.
- Reply to support queries and resolve disputes.
- Detect fraud, abuse and unusual patterns on the platform.
- Improve the product — for example, by analysing aggregate, de-identified usage trends.
- Meet our legal, accounting and tax obligations.
4. Who we share data with
My-chat-bot does not sell personal data. We do share specific data with carefully chosen sub-processors so the service can function:
- AI model providers — to generate responses, under contracts that prohibit training on your data.
- Messaging channels you connect, such as WhatsApp and Telegram, to deliver conversations.
- Cloud infrastructure providers hosting the application, indexes and audit logs.
- Regulators, courts or law enforcement if compelled by valid legal process.
5. How long we keep it
Account and billing records are retained for as long as your account is active and for up to seven years afterwards to meet tax law. Conversation data is retained according to the retention period you set in your dashboard, and is deleted on request. Server logs are pruned after twelve months.
6. Your choices and rights
You may ask us to:
- Confirm what personal data we hold about you.
- Correct anything inaccurate.
- Delete data we no longer need to retain by law.
- Export your data, including conversation transcripts, in a portable format.
- Object to specific processing such as analytics cookies.

7. Security
We use TLS encryption on every page, encryption at rest for conversation and training data, role-based access controls internally, and signed audit logs for sensitive operations. No system is perfect — if you ever suspect your account has been misused, contact us immediately so we can investigate and lock it down.
8. Changes to this policy
When we update this policy we will revise the date at the top of the page. Material changes will also be flagged in-app for thirty days so you have time to review them before they take effect.
